Download the statement from Navy Federal

  1. Sign in to digital banking at navyfederal.org.
  2. Choose "Statements" from the navigation menu.
  3. Set the account (or All Accounts) and the month. Statements are listed by statement date.
  4. Click the PDF link for the month and save it.
  5. In the mobile app: tap "More" in the bottom bar, then "Account and Tax Statements", pick the month and use the share sheet to save the PDF.

Then drop the file above. Several months at once is fine; each statement comes back as its own .qbo file.

Before you upload: is the PDF password-protected?

Navy Federal statement PDFs are not password-protected. Note that you need to be enrolled in eStatements to see them online at all; paper-only members get an empty list until they switch.

Navy Federal and QuickBooks

Navy Federal's Account History download offers CSV, OFX and QIF but no QBO option, so QuickBooks users usually end up mapping a CSV by hand. Converting the statement PDF produces a .qbo directly, one share account at a time so the balance check ties to that account.

Under an account, Account History has a Download option offering CSV, OFX and QIF for a date range, and the online history reaches back around 18 months as of 2026. The CSV is a bare list: date, description, amount, and in some layouts a balance, but check numbers and memo details that print on the statement are not always carried across. There is no QBO option, so QuickBooks users end up converting the OFX or importing the CSV by mapping. For monthly bookkeeping on one checking account the CSV is workable. When you need the cross-account view, or history past the download window, the PDF statements are the only complete record.

Import into QuickBooks

  1. Drop the statement on the home page. Fix any flagged row (or swap debit/credit if the bank prints them reversed) until the badge is green.
  2. Click QuickBooks (.qbo).
  3. QuickBooks Online: Transactions → Bank transactions → Link account ▾ → Upload from file → choose the .qbo → pick the account → Next.
  4. QuickBooks Desktop: File → Utilities → Import → Web Connect Files → choose the .qbo → select the account.
  5. Review the imported transactions in the For Review tab and add them.

What usually goes wrong

  • Several share accounts per PDF. Convert the pages for one account at a time so the balance check ties to that account; transfers between accounts then show up once on each side.
  • Reversed signs: money out imported as deposits. The most common complaint about statement converters. We show you the totals and let you swap before export.
  • Duplicate transactions on re-import because the FITID changes each time. Ours is derived from the row content, so the same statement always produces the same IDs.
  • "QuickBooks found an error" on upload, usually from a missing INTU.BID, unescaped ampersands or a bad date. Check any .qbo with our free QBO checker.

None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a Navy Federal file.

How do I keep transfers between my Navy Federal accounts from doubling up?

Convert one share account at a time. Each section on the PDF has its own ending balance, so the balance check only makes sense per account. Book the checking side and the savings side as a transfer in your software, matching the two lines with the same date and amount, and they net to zero.

Do certificate and money market sections need converting?

Only if something moved. A certificate section in a normal month has one dividend line and nothing else, and the dividend can be journaled from the statement in seconds. Convert those pages when there is a maturity, a renewal or a transfer, otherwise skip them and save the page count.

Does it work with QuickBooks Online and Desktop?

Yes. The .qbo is OFX 1.02 with the INTU.BID QuickBooks requires, which both accept. Desktop imports via Web Connect.

What if QuickBooks rejects the file?

Run it through the QBO checker at /tools/qbo-checker; it explains what QuickBooks objects to. If the issue is with a file we produced, email support with the conversion ID and we fix the reader.

Can I get Navy Federal transactions into QuickBooks without the bank's own export?

Yes. Download the statement PDF from Navy Federal, drop it on this page and wait for the balance check, which compares the rows with the balances printed on the statement. Then download the QuickBooks file and import it with the steps above. No Navy Federal template is involved; the statement is read the way a person reads it, and the balance check is what tells you the rows are complete.
