Indian bank statements arrive password-protected, dense and long: hundreds of UPI rows a month, two dates per row and numbers grouped in lakhs. Chartered accountants preparing an ITR or a GST reconciliation for a client with no books are the people converting them, usually into Excel on the way to Tally. How Indian statements are laid out
Dates are day first, DD/MM/YY or DD/MM/YYYY, and most statements print both a transaction date and a value date; the transaction date is the one used. Amounts follow the Indian grouping, 1,23,456.78, with a point for decimals, in Withdrawal and Deposit (or Debit and Credit) columns and a Closing Balance on every row. Narrations are long, often the full UPI string with the payer's VPA and a reference number, and they are kept whole so the UPI ID remains searchable. Statements are frequently emailed as PDFs locked with a published password scheme such as the customer ID or part of the PAN and date of birth.
What to know before converting
- Password-protected PDFs are unlocked in your browser: drop the file, type the bank's published password when prompted, and the unlocked copy is what uploads. The password never leaves your device.
- Lakh grouping (1,23,456.78) is read as the number it is, and the Excel export writes plain numeric cells.
- Two dates per row at most banks; the transaction date is the one on the converted row, since it is the one the closing balance is built on.
- Statements from YONO, iMobile and the HDFC app can run to hundreds of rows; the count check against the printed number of transactions protects against a dropped page.
- Cheque and NEFT rows carry the reference in a separate column at most banks, which comes through with the description.
Who asks for statements, and in what form
The Income Tax Department expects bank statements to support an ITR under scrutiny and the Annual Information Statement is reconciled against them; GST filers match deposits to invoices. Banks ask for six months of statements for a loan and visa applications for the UK, Canada, Australia and the Schengen area ask for three to six months showing funds.

What do I do with the password on an HDFC or SBI statement PDF?
Drop the file and type the password when the prompt appears under the upload box. Each bank publishes its rule and repeats it in the email that delivers the statement: HDFC uses the customer ID, SBI the account number and date of birth, ICICI and Axis their own combinations. The file is unlocked in your browser and only the unlocked copy uploads; the password itself is never sent anywhere. If you prefer, open the PDF with the password and Print to PDF first, then upload the copy.
Will the numbers come out in lakh format in Excel?
They come out as numbers. The Excel export writes numeric cells with a standard two-decimal format, so SUM and pivot tables work. If you want lakh grouping displayed, apply an Indian number format to the column in Excel; the underlying values do not change.
How do I get the rows into Tally?
Download Tally XML. It creates balanced Receipt and Payment vouchers between the inferred bank ledger and Statement Import Clearing. Create those two ledgers in TallyPrime (or rename yours to match), import the file under Alt+O, Import, Transactions, then reclassify the clearing entries while reconciling. Zoho Books imports the plain CSV through its bank statement import with column mapping.
