How to download a Navy Federal statement as a PDF

  1. Sign in to digital banking at navyfederal.org.
  2. Choose "Statements" from the navigation menu.
  3. Set the account (or All Accounts) and the month. Statements are listed by statement date.
  4. Click the PDF link for the month and save it.
  5. In the mobile app: tap "More" in the bottom bar, then "Account and Tax Statements", pick the month and use the share sheet to save the PDF.

Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.

Before you upload: is the PDF password-protected?

Navy Federal statement PDFs are not password-protected. Note that you need to be enrolled in eStatements to see them online at all; paper-only members get an empty list until they switch.

What Navy Federal statements look like

One statement covering several share accounts (checking, savings, certificates), each with its own transaction list and balance.

One membership, one statement. Checking, Membership Savings, money market and certificate accounts all print in a single PDF under the same Access Number, each with its own section, beginning balance, transaction list and ending balance. A member with three or four shares gets a six to ten page statement even in a quiet month. Dates are MM-DD, amounts sit in Amount and Balance columns, and transfers between shares appear once in each section, once as a withdrawal and once as a deposit. The footer on current statements says up to 36 months are kept online, which is more than the transaction download gives you. Business accounts follow the same layout with the business name in the header.

Where Navy Federal statements trip up other converters

  • Several share accounts per PDF. Convert the pages for one account at a time so the balance check ties to that account; transfers between accounts then show up once on each side.

None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a Navy Federal file.

Why not just use Navy Federal's own export?

Under an account, Account History has a Download option offering CSV, OFX and QIF for a date range, and the online history reaches back around 18 months as of 2026. The CSV is a bare list: date, description, amount, and in some layouts a balance, but check numbers and memo details that print on the statement are not always carried across. There is no QBO option, so QuickBooks users end up converting the OFX or importing the CSV by mapping. For monthly bookkeeping on one checking account the CSV is workable. When you need the cross-account view, or history past the download window, the PDF statements are the only complete record.

What you get back

  1. A green Balanced badge when the printed opening balance plus money in minus money out equals the printed closing balance, row by row. Or a red one pointing at the first row that does not add up, with a one-click swap if debit and credit look reversed.
  2. Click any misread cell, correct it, and the check re-runs before you download.
  3. Download Excel, CSV, QuickBooks (.qbo), Xero CSV or Tally XML, whichever Excel imports best, with a suggested category on every row.

Navy Federal questions

How do I keep transfers between my Navy Federal accounts from doubling up?

Convert one share account at a time. Each section on the PDF has its own ending balance, so the balance check only makes sense per account. Book the checking side and the savings side as a transfer in your software, matching the two lines with the same date and amount, and they net to zero.

Do certificate and money market sections need converting?

Only if something moved. A certificate section in a normal month has one dividend line and nothing else, and the dividend can be journaled from the statement in seconds. Convert those pages when there is a maturity, a renewal or a transfer, otherwise skip them and save the page count.

Where are the check numbers?

On the PDF, in the description of each check paid, and also in a Checks section on some layouts. They are one of the details the CSV download tends to drop, which is a reason to work from the statement when checks matter to you.

How do I convert a Navy Federal statement PDF to Excel?

Download the statement PDF from Navy Federal online banking or the app, drop it on this page, and wait about 10 to 40 seconds. You get every transaction in a table, a balance check against the printed opening and closing balance, and Excel, CSV, QuickBooks, Xero and Tally XML downloads. The first 5 pages are free with no account.

Do I need a Navy Federal template?

No. The statement is read the way a person reads it, so Navy Federal layout changes do not break anything. What protects you is the balance check: opening balance plus money in minus money out must equal the printed closing balance, row by row.

Does it work with scanned Navy Federal statements?

Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.

Can I import Navy Federal transactions into Excel?

Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. Excel and CSV work everywhere else, including Google Sheets.

How many Navy Federal statements can I convert at once?

Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.

What happens to my statement?

It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
