How Australian statements are laid out

Dates are day first, DD/MM/YYYY or day and short month, with the year on the row or in the header. Amounts use a point for decimals and a comma for thousands, in Debit and Credit (or Withdrawals and Deposits) columns, and an overdrawn or credit-card balance is marked DR or CR after the figure at CommBank and others rather than with a minus. Transaction and savings account statements are monthly at most banks but six-monthly at Macquarie and quarterly at Up, so a single PDF can hold twenty pages. BPAY, PayID and Osko descriptions carry reference numbers that wrap onto a second line.

What to know before converting

  • DR and CR balance markers are read as signs, so an overdrawn month reconciles instead of failing on a positive number that should be negative.
  • App exports (Westpac, Up) often list newest first; rows are put into date order and the balance check says so.
  • Up's CSV has Subtotal, Fee, Round Up and Total (AUD) columns; only Total (AUD) moves the balance.
  • Offset accounts attached to a home loan are statemented with the loan at some banks; convert the offset pages on their own.
  • ANZ New Zealand statements follow the same layout in NZD; the currency is taken from the statement.

Who asks for statements, and in what form

The ATO expects BAS and income tax figures to be supported by bank records for five years, and sole traders without software rebuild the year from statements at tax time. Lenders assessing a home loan ask for three months of statements for every account, and self-managed super fund auditors want the fund's bank statements for the whole financial year.

How do I get the converted statement into MYOB?

MYOB Business imports bank transactions from a CSV, OFX, QIF or QFX file through the bank feeds screen. Use the plain CSV download and map Date, Description and Amount (or the Money Out and Money In pair) when MYOB asks. AccountRight imports the same file through Banking, Bank Feeds, Import Statement.

My six-monthly Macquarie statement is twenty pages. Is that one upload?

Yes, up to 60 pages per file. It comes back as one table with the opening balance at the start of the period and the closing balance at the end, and the running balance on every row is checked in between. Filter the Excel by month afterwards if you post monthly.

Are statements from the Australian app banks and neobanks supported?

Yes. Up and the app exports from the big four are read the same way as a mailed statement, because the check depends only on the printed opening and closing balances and the rows between them. Where the app also offers a CSV or OFX export, that file can be uploaded instead of the PDF and is charged at one page per 4,000 characters.
