Convert Capital One card statements to Excel.
Checked to the cent.

Drop a Capital One PDF and get a clean spreadsheet, QuickBooks or Xero file in seconds. Every row is checked against the balances printed on the statement, so a misread is flagged, not hidden.

How to download a Capital One card statement as a PDF

  1. Sign in at capitalone.com and click the card or 360 account you want.
  2. Choose "View Statements" (on cards it sits under the "Statements & documents" menu).
  3. Pick the statement period from the list. Active accounts show up to seven years.
  4. Click the download or PDF icon next to that period and save the file.
  5. In the Capital One Mobile app: tap the account, scroll to the bottom of the page and tap "Statements", then pick the month and use the share/save button.

Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.

Before you upload: is the PDF password-protected?

Capital One does not password-protect its statement PDFs, card or 360. The file opens as downloaded.

What Capital One statements look like

Credit card statements list Transactions and Payments/Credits in separate sections with a "Trans Date" and "Post Date" column; 360 Checking statements use a single running-balance table.

Card statements run three to five pages and open with a Payment Information box, then an Account Summary that lays out Previous Balance, Payments, Other Credits, Transactions, Fees, Interest Charged and New Balance. The transaction table has two date columns, "Trans Date" and "Post Date", both in MMM DD form, so a purchase made on the 30th can post in the next cycle. Payments and credits appear in their own block above purchases rather than mixed in. 360 Checking statements are a different animal: one running-balance table, MM/DD dates, and if you hold several 360 products they are combined into one PDF with a section per account. Savings accounts with no activity only get a quarterly statement, which surprises people looking for twelve files.

Where Capital One statements trip up other converters

  • Two dates per row on card statements; we use the posting date so balances tie out.
  • Card statements reconcile to "Previous balance + purchases + fees + interest − payments − credits = New balance".

None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a Capital One file.

Why not just use Capital One's own export?

From the same "Statements & documents" menu you can "Download transactions" as CSV, and for some account types OFX or QFX. The card CSV has Transaction Date, Posted Date, Card No., Description, Category and separate Debit and Credit columns, which is more than most issuers give you. What it lacks is any balance: there is no opening figure, no running balance and no closing figure, so you cannot prove the file is complete. For a single month of a card you already reconcile from bank feeds the CSV is fine; for a year of back-work, or when someone hands you PDFs, converting the statement gets you the totals to check against.

What you get back

  1. A green Balanced badge when the printed opening balance plus money in minus money out equals the printed closing balance, row by row. Or a red one pointing at the first row that does not add up, with a one-click swap if debit and credit look reversed.
  2. Click any misread cell, correct it, and the check re-runs before you download.
  3. Download Excel, CSV, QuickBooks (.qbo), Xero CSV or Tally XML, whichever QuickBooks Online imports best, with a suggested category on every row.

Capital One questions

Which of the two dates on a Capital One card statement should I book against?

The posting date. Capital One totals the statement on posted amounts, so a charge with a Trans Date of the 31st and a Post Date of the 2nd belongs to the later statement and the later month. Booking on the transaction date makes the New Balance impossible to tie out. The converter uses Post Date for exactly that reason and keeps Trans Date in the description.

My 360 statement has checking and savings in one PDF. Does that matter?

It does for the balance check. Each section on the PDF has its own beginning and ending balance, and a transfer between the two shows on both. Save the checking pages and the savings pages as separate PDFs (Print to PDF with a page range) and convert each on its own, so each ending balance is checked against its own rows.

Can I get statements for a card I closed?

Online access is quoted as up to seven years for active accounts. Once a card is closed you may lose the "View Statements" list even though the account still appears, and older periods then become a request through the Help Center or by phone. Download the range you need before closing anything.

How do I convert a Capital One card statement PDF to Excel?

Download the statement PDF from Capital One online banking or the app, drop it on this page, and wait about 10 to 40 seconds. You get every transaction in a table, a balance check against the printed opening and closing balance, and Excel, CSV, QuickBooks, Xero and Tally XML downloads. The first 5 pages are free with no account.

Do I need a Capital One template?

No. The statement is read the way a person reads it, so Capital One layout changes do not break anything. What protects you is the balance check: opening balance plus money in minus money out must equal the printed closing balance, row by row.

Does it work with scanned Capital One statements?

Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.

Can I import Capital One transactions into QuickBooks Online?

Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. Excel and CSV work everywhere else, including Google Sheets.

How many Capital One statements can I convert at once?

Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.

What happens to my statement?

It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
