How US statements are laid out

Dates are month first, usually MM/DD with the year only in the statement period line, so a statement covering December to January depends on that header to place each row. Amounts use a comma as the thousands separator and a point for decimals, and several banks print withdrawals in parentheses or in a separate section instead of with a minus sign. Most large banks do not print a running balance on each row; they print a Daily Balance Summary at the end, and that table is what the running check compares against. Checks appear in their own grid sorted by check number, with an asterisk marking a gap in the sequence. Card statements reconcile the other way round: previous balance plus purchases, fees and interest minus payments and credits equals the new balance.

What to know before converting

  • Sectioned layouts (Deposits and Additions, Electronic Withdrawals, Checks Paid, Fees) mean a converter that stops after the first debit section is short by whole blocks; the ending balance check shows the gap.
  • Statement cycles often close mid-month, for example the 17th to the 16th, so a calendar-month report needs two statements.
  • Business accounts commonly attach a page of check images at the end; those pages carry no rows.
  • Credit card statements print two dates per row at most issuers (transaction and post date); the post date is the one the totals are built on.
  • Bank exports in QBO or QFX exist at the large banks but usually reach back only 90 days to two years and never carry the opening and closing balance.

Who asks for statements, and in what form

The IRS does not want statements with a return, but it asks for them in an audit, and Schedule C filers who never kept books rebuild the year from them. Mortgage lenders ask for the last two or three months, SBA and bank loan underwriters for a year, and immigration cases for six months or more. In every case the request is for the bank's own PDF plus, usually, a summary that agrees with it.

My US statement has no balance column. How is it checked?

From the summary. The statement prints a beginning balance, totals for each section and an ending balance, and most also print a daily balance table. The rows are added from the beginning balance and compared with the ending balance and, where it exists, with each daily figure. A missing or misread row shows as a difference at the day where it first appears.

Which export should I use for QuickBooks Desktop?

The .qbo file. QuickBooks Desktop imports it through File, Utilities, Import, Web Connect Files, and it carries a stable ID per transaction so a second import does not duplicate. QuickBooks Online accepts the same file, or the three-column QuickBooks CSV if you prefer to see the rows first.

Do credit card statements from US issuers convert as well as bank statements?

Yes. Card statements from Chase, Citi, Capital One, American Express, Discover and the others are read against the account summary, previous balance through to new balance. If the signs come through reversed, a one-click swap flips the debit and credit columns, and the QuickBooks export is written as a credit card file so charges land as spend.
