Download the statement from SBI
- Log in to OnlineSBI (Personal Banking) and open My Accounts & Profile, then Account Statement.
- Select the account, then choose By Date for a custom range or By Month for a calendar month.
- Under the format options pick Download in PDF format (Excel and MT940 are also offered) and click Go.
- Save the PDF. Long ranges may be refused; split the period if that happens.
- In YONO SBI: Accounts, tap the account, then Transactions and use the download or email icon for a statement PDF. The emailed copy is password-protected.
- Without internet banking, SBI Quick users can SMS ESTMT, the account number and a four-digit code of their own choosing to 09223588888 and receive the last six months by email, locked with that code.

Before you upload: is the PDF password-protected?
Emailed SBI statements are protected but the format is not consistent across channels: SBI Quick uses the four-digit code you sent, older branch-registered e-statements have used the account number, and YONO statements have used other combinations of personal details. Read the covering email, which states the rule for that file, and type it into the prompt when you drop the PDF; the unlocking happens in your browser. The OnlineSBI download is unprotected and avoids the prompt altogether.

Emailed SBI statements are password-protected and the rule varies by channel; the upload box asks for the password and opens the file in your browser before anything is sent. The Tally XML then names the bank ledger after SBI and the last four account digits, so create that ledger and Statement Import Clearing before importing.
OnlineSBI gives Excel and MT940 downloads alongside the PDF, and MT940 is the format most Indian ERPs and bank reconciliation modules prefer. The Excel is workable but comes as an .xls with merged header cells and the Cr/Dr suffix still attached to balances, so it needs a clean-up pass. The date range you can pull in one go is limited, which is tedious across a financial year. Converting the PDF is the sensible route for statements received from branches or clients, and for a run of months where you want one consistent file.
Import into TallyPrime
- Drop the statement on the home page and make sure the balance check is green.
- Click Tally XML. Money in becomes a Receipt voucher and money out becomes a Payment voucher. Each voucher has two ledger entries whose amounts add to zero.
- The XML names the bank ledger after the bank and the last four account digits (HDFC Bank 4821, for example). Its other side is a ledger named Statement Import Clearing. Both must exist in the company before you import: create them, or rename your existing ledgers to match.
- Set the company period to cover the statement dates (Alt+F2), then press Alt+O, choose Import, then Transactions, and select the downloaded file.
- Review the import summary and any exceptions. Open Statement Import Clearing afterwards and reclassify each transaction to the correct expense, income, customer or supplier ledger while reconciling the bank account.
What usually goes wrong
- Statements can run to hundreds of rows; the count check against the printed total protects against dropped pages.
- Tally matches ledgers by exact name. A voucher whose ledger does not exist is listed as an exception instead of being posted, so check the two names before importing. Through the API you can pass your own ledger names.
- Voucher dates must fall inside the company period, and amounts are imported as plain numbers in the company's base currency. Widen the period first, and treat a foreign-currency statement as a job for a multi-currency ledger.
- Turning guessed categories directly into accounting ledgers can post transactions to the wrong chart-of-accounts group. The export uses one clearing ledger instead, leaving classification under your control.
- Importing the same statement twice can duplicate vouchers if duplicate handling is disabled. The XML gives every row a stable remote ID and voucher number so Tally can identify the repeat during review.
None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a SBI file.
SBI and TallyPrime questions
What happens to the Cr and Dr on the Balance column?
They are read and removed. Cr balances become positive numbers and Dr balances negative, so an overdraft or cash credit account shows a signed running balance in Excel. The suffix does not appear in the output.
OnlineSBI will not let me pull the whole year in one statement. Any way round it?
Download it in pieces, each within the range OnlineSBI allows, and upload all the PDFs together. The converter stitches them in date order and checks that the closing balance of one carries into the opening balance of the next, so a gap between pieces is flagged.
Does the Tally XML create my ledgers?
No. It refers to a bank ledger named after the bank and account, and to Statement Import Clearing. Create both before importing; vouchers that name a ledger Tally cannot find are held as exceptions. Not creating ledgers for you avoids a chart of accounts you did not choose.
How are debits and credits posted?
Money received is a Receipt voucher: the bank ledger is debited and the clearing ledger is credited. Money paid is a Payment voucher: the clearing ledger is debited and the bank ledger is credited. The two amounts in every voucher add to zero.
Can I get SBI transactions into TallyPrime without the bank's own export?
Yes. Download the statement PDF from SBI, drop it on this page and wait for the balance check, which compares the rows with the balances printed on the statement. Then download the Tally XML file and import it with the steps above. No SBI template is involved; the statement is read the way a person reads it, and the balance check is what tells you the rows are complete.
