Convert SBI statements to Excel.
Checked to the cent.
Drop a State Bank of India (SBI) PDF and get a clean spreadsheet, QuickBooks or Xero file in seconds. Every row is checked against the balances printed on the statement, so a misread is flagged, not hidden.

How to download a SBI statement as a PDF
- Log in to OnlineSBI (Personal Banking) and open My Accounts & Profile, then Account Statement.
- Select the account, then choose By Date for a custom range or By Month for a calendar month.
- Under the format options pick Download in PDF format (Excel and MT940 are also offered) and click Go.
- Save the PDF. Long ranges may be refused; split the period if that happens.
- In YONO SBI: Accounts, tap the account, then Transactions and use the download or email icon for a statement PDF. The emailed copy is password-protected.
- Without internet banking, SBI Quick users can SMS ESTMT, the account number and a four-digit code of their own choosing to 09223588888 and receive the last six months by email, locked with that code.
Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.
Before you upload: is the PDF password-protected?
Emailed SBI statements are protected but the format is not consistent across channels: SBI Quick uses the four-digit code you sent, older branch-registered e-statements have used the account number, and YONO statements have used other combinations of personal details. Read the covering email, which states the rule for that file, and type it into the prompt when you drop the PDF; the unlocking happens in your browser. The OnlineSBI download is unprotected and avoids the prompt altogether.
What SBI statements look like
Txn Date, Value Date, Description, Ref No./Cheque No., Debit, Credit, Balance; often exported from YONO or online banking.
SBI statements list Txn Date, Value Date, Description, Ref No./Cheque No., Debit, Credit and Balance, and the Balance column carries a Cr or Dr suffix (12,34,567.00 Cr) rather than a sign. Dates print as d Mon yyyy, for example 3 Jul 2025. Descriptions are mostly upper case and channel-coded: TO TRANSFER-UPI/DR/..., BY TRANSFER-NEFT*..., ATM WDL, plus a monthly INTEREST CREDIT line. The statement header repeats the account name, number, branch and IFSC on each page, and there is no printed transaction count, so the check is against the closing balance only. UPI-heavy accounts routinely run to several hundred rows a quarter and a YONO export may exceed 40 pages.
Where SBI statements trip up other converters
- Statements can run to hundreds of rows; the count check against the printed total protects against dropped pages.
None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a SBI file.
Why not just use SBI's own export?
OnlineSBI gives Excel and MT940 downloads alongside the PDF, and MT940 is the format most Indian ERPs and bank reconciliation modules prefer. The Excel is workable but comes as an .xls with merged header cells and the Cr/Dr suffix still attached to balances, so it needs a clean-up pass. The date range you can pull in one go is limited, which is tedious across a financial year. Converting the PDF is the sensible route for statements received from branches or clients, and for a run of months where you want one consistent file.
What you get back
- A green Balanced badge when the printed opening balance plus money in minus money out equals the printed closing balance, row by row. Or a red one pointing at the first row that does not add up, with a one-click swap if debit and credit look reversed.
- Click any misread cell, correct it, and the check re-runs before you download.
- Download Excel, CSV, QuickBooks (.qbo), Xero CSV or Tally XML, whichever Tally imports best, with a suggested category on every row.

SBI questions
What happens to the Cr and Dr on the Balance column?
They are read and removed. Cr balances become positive numbers and Dr balances negative, so an overdraft or cash credit account shows a signed running balance in Excel. The suffix does not appear in the output.
OnlineSBI will not let me pull the whole year in one statement. Any way round it?
Download it in pieces, each within the range OnlineSBI allows, and upload all the PDFs together. The converter stitches them in date order and checks that the closing balance of one carries into the opening balance of the next, so a gap between pieces is flagged.
My SBI statement is a scan from the branch with a stamp on it. Is that different from a YONO PDF?
The layout is the same but the file is an image, so the text is recovered by OCR rather than read directly. Stamps and signatures over the amount columns are the usual cause of a row needing review. A clean, straight scan at 300 dpi converts well; a phone photo at an angle is slower and less reliable.
How do I convert a SBI statement PDF to Excel?
Download the statement PDF from SBI online banking or the app, drop it on this page, and wait about 10 to 40 seconds. You get every transaction in a table, a balance check against the printed opening and closing balance, and Excel, CSV, QuickBooks, Xero and Tally XML downloads. The first 5 pages are free with no account.
Do I need a SBI template?
No. The statement is read the way a person reads it, so SBI layout changes do not break anything. What protects you is the balance check: opening balance plus money in minus money out must equal the printed closing balance, row by row.
Does it work with scanned SBI statements?
Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.
Can I import SBI transactions into Tally?
Yes. For TallyPrime, download the Tally XML and import it as Transactions. Excel and CSV work everywhere else, including Google Sheets.
How many SBI statements can I convert at once?
Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.
What happens to my statement?
It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
