How to download a HDFC statement as a PDF

  1. Log in to HDFC Bank NetBanking. Go to Accounts, then Enquire, then Download Account Statement (labelled Account Statement on some profiles).
  2. Choose the account, set a period (a preset like last 6 months or your own date range, up to 5 years back) and pick PDF as the format.
  3. Click Download and save the file. This PDF is generated on the spot and is not password-protected.
  4. For a statement in your inbox: Accounts, then Request, then Email Statement, and choose the period. That PDF arrives protected.
  5. In the HDFC Bank app: Accounts, tap the account, then Statements (or Email Statement) and select the period.

Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.

Before you upload: is the PDF password-protected?

Statements emailed by HDFC Bank are password-protected and the email spells out the format. For savings and current account e-statements it has long been the Customer ID, and the email subject usually shows the last digits of that ID as a hint. Drop the emailed file as it is: the upload box asks for the Customer ID and unlocks the PDF in your browser, and only the unlocked copy is sent. The NetBanking download comes unprotected if you would rather skip the prompt.

What HDFC statements look like

Date, Narration, Chq./Ref.No., Value Dt, Withdrawal Amt., Deposit Amt., Closing Balance. Dense, many rows per page, often password-protected.

HDFC statements have seven columns: Date, Narration, Chq./Ref.No., Value Dt, Withdrawal Amt., Deposit Amt. and Closing Balance, in small type with 40 to 50 rows a page. Dates are dd/mm/yy. The Narration is where UPI accounts get noisy: a typical line reads UPI-MERCHANT NAME-vpa@bank-BANKCODE-reference-remark, and the reference number repeats in the Chq./Ref.No. column. Amounts use Indian grouping (1,23,456.78) which the converter reads as 123456.78. A salaried account with daily UPI use produces 300 to 600 rows a quarter, and the statement ends with a summary block giving opening balance, Dr Count, Cr Count, Debits, Credits and closing balance, which is what the row-count check is compared against.

Where HDFC statements trip up other converters

  • Indian number format (1,23,456.78) is read correctly.
  • Password-protected PDFs are unlocked in your browser: a prompt asks for the password HDFC printed in its email, and only the unlocked copy is uploaded.
  • UPI narrations are long; they are kept whole so UPI IDs remain searchable.

None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a HDFC file.

Why not just use HDFC's own export?

NetBanking will hand you the same statement as Excel or a delimited text file, not just PDF, and for a quick tally that is often enough. The Excel is a straight dump of the statement columns with no formatting and dates as text, so it still needs cleaning before Zoho will take it, and it is not something Tally can post as vouchers. Where the PDF wins is when someone else sent it to you: a client's emailed e-statement, or a signed branch statement for a loan file, exists only as a protected PDF, and converting it gives you clean columns plus a Tally XML voucher file.

HDFC questions

The UPI narrations are very long. Can the converter shorten them?

It keeps them whole by default because the UPI ID and the reference are what you search for when a customer disputes a payment. In Excel you can split the narration on the hyphens with Text to Columns and keep only the merchant part. Nothing is truncated during conversion.

Does the Dr Count and Cr Count at the end of the statement get used?

Yes. HDFC prints how many transactions the statement contains, and the converter compares the number of rows it extracted against that total, alongside the balance check. A mismatch is flagged before you download, which is the fastest way to notice a page that did not render.

Should I convert the emailed e-statement or the NetBanking download?

If you have NetBanking access, download from there. It is unprotected and you can choose the exact date range. The emailed e-statement is the same data for a fixed cycle and needs its password removed first. Both convert identically once open.

Does it work with scanned HDFC statements?

Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.

Can I import HDFC transactions into Tally?

Yes. For TallyPrime, download the Tally XML and import it as Transactions. Excel and CSV work everywhere else, including Zoho Books.

How many HDFC statements can I convert at once?

What happens to my statement?

It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
