How to download a PayPal statement as a PDF

  1. Log in and go to Activity (labelled History in some views), then click the Download icon.
  2. Click "Custom" and choose the report: Activity download for a date range, or a monthly Statement.
  3. For statements, go straight to paypal.com/reports/accountStatements and click "Request" next to the month you need.
  4. Wait for the report to finish; small requests are ready in seconds, large ones can take up to five business days and PayPal emails you.
  5. Click "Download" and save the PDF.

Before you upload: is the PDF password-protected?

PayPal statements and activity PDFs are not password-protected. Reports generated for large periods are held for you to download and only the last three completed large files are kept.

What PayPal statements look like

Monthly statement PDF with Gross, Fee and Net columns per transaction and a currency section per currency held.

Every row carries three amounts: Gross, Fee and Net, and the running balance moves by the Net. Refunds print with the fee reversed in the Fee column, so a refund line can show a positive fee. Withdrawals to a bank account are single lines with no fee. If the account holds more than one currency, the statement has a section per currency with its own opening and closing balance, and currency conversions show as a debit in one section and a credit in another. Dates are MM/DD/YYYY with a time column beside them, and a busy seller statement runs to ten or fifteen pages.

Where PayPal statements trip up other converters

  • Three amount columns per row (gross, fee, net). The reader is asked for what actually moved the balance, so the running-balance check catches it if a fee is dropped.
  • If you hold several currencies, convert one currency section at a time so each balance is checked in its own currency.

None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a PayPal file.

Why not just use PayPal's own export?

PayPal has two things that get called a statement. The monthly Statement is the bank-style one: opening and closing balance, total debits and credits, and only the transactions that changed the balance, kept for two years. The Activity download covers up to seven years, twelve months per request, in CSV, TAB, PDF, Quicken or QuickBooks format, and it includes everything, including authorizations, pending items and things that never touched the balance. The CSV is good for volume and for fee analysis, but it does not reconcile to anything by itself. When someone needs a month that ties, convert the monthly Statement PDF; when they need three years of fee history, take the Activity CSV.

PayPal questions

Do I import the Gross or the Net amount?

Net is what moved the balance, so Net is what makes the statement tie. Gross and Fee are still worth keeping because the fee is a deductible expense and your software wants it as a separate line or a split. The converter reads what changed the balance and keeps the gross and fee in the row so you can split the entry on import.

My PayPal statement has USD and EUR sections. One upload or two?

Two. Each currency has its own balance and its own arithmetic, and a single ledger account cannot hold both. Convert the USD section for the USD clearing account and the EUR section for the EUR one, and book the conversion lines as a transfer between them at the rate PayPal used.

Why does the Activity CSV total not match the Statement?

Because the Activity report includes items that never affected the balance: pending payments, authorizations, canceled items, and sometimes duplicate lines for a payment and its completion. The monthly Statement filters to balance-affecting rows only. If you must use the CSV, filter the Balance Impact column to Credit and Debit before summing.

Does it work with scanned PayPal statements?

Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.

Can I import PayPal transactions into Xero?

Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. For Xero, download the Xero CSV and use Import a Statement on the bank account. Excel and CSV work everywhere else, including Google Sheets.

How many PayPal statements can I convert at once?

Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.

What happens to my statement?

It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
