How to download a Stripe statement as a PDF
- In the Stripe Dashboard open Reports, then Balance (the Balance summary report).
- Set the date range to the month you are closing. Data for a day is final by about noon the following day.
- Click "Download" in the Balance change from activity section and choose Itemized for every transaction, or Summary for the totals as shown.
- Download the Payouts section the same way if you reconcile payouts to the bank.
- For a PDF, use the browser Print command on the report page and save as PDF; Stripe only exports the tables themselves as CSV.
Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.
Before you upload: is the PDF password-protected?
Nothing to remove. Stripe does not issue protected documents; the PDF is whatever your browser printed.
What Stripe statements look like
Balance summary PDF or CSV export listing payouts, charges, refunds and fees with a running balance.
Stripe is a payment processor, so the statement logic is different from a bank. The balance you are reconciling is money held at Stripe, available plus pending plus any reserve, and the tie-out is Starting balance plus Balance change from activity minus Payouts equals Ending balance. Each charge is two movements, a gross credit and a fee debit, netted on one row; refunds return the gross and Stripe may or may not return the fee depending on your pricing. Payouts are plain transfers to the bank and do not correspond to particular charges unless you use the separate Payout reconciliation report. Dates are ISO style with time and time zone, and disputes appear as their own category with the dispute fee alongside.
Where Stripe statements trip up other converters
- CSV exports are accepted directly (no PDF needed) and count as one page per 4,000 characters, so a month of activity is usually 1–3 pages.
None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a Stripe file.
Why not just use Stripe's own export?
Here the native export is the right tool most of the time. The itemized Balance summary CSV has every balance transaction with its type (charge, refund, fee, adjustment, payout), the gross, the fee and the net, the created date and any metadata you attached, and the Balance summary section gives you starting balance, change from activity, payouts and ending balance to check it against. It is a complete, reconcilable file and stmtai accepts it as-is, counted at one page per 4,000 characters. Convert a Stripe PDF only when that is all you were given, for instance a printed report from a client or a platform-embedded balance report.

Stripe questions
Balance summary or Payout reconciliation report?
Balance summary if you treat Stripe as a bank account in your books and reconcile its balance at month end. Payout reconciliation if you post each bank deposit and need to know which charges, refunds and fees made up that exact payout. Most small businesses on automatic payouts do better with the Balance report and a Stripe clearing account.
Why do my Stripe payouts never match the sales in the same month?
Timing. A charge on the 30th sits in pending for two to seven days and pays out in the next month, while the fee hits the balance on the day of the charge. The Balance summary handles this because its ending balance carries the pending amount forward. If you are matching bank deposits, use the Payout reconciliation report, which lists the transactions in each payout regardless of when they were charged.
Which date goes in the ledger, created or available?
The Balance report uses the date the balance changed, which is the created date for charges and fees and the available date for automatic payouts. Stick with that so the file agrees with the report totals. Instant payouts are the exception: Stripe cannot tell you which transactions they contain, so you reconcile those by hand.

Do I need a Stripe template?
No. The statement is read the way a person reads it, so Stripe layout changes do not break anything. What protects you is the balance check: opening balance plus money in minus money out must equal the printed closing balance, row by row.
Does it work with scanned Stripe statements?
Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.
Can I import Stripe transactions into Xero?
Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. For Xero, download the Xero CSV and use Import a Statement on the bank account. Excel and CSV work everywhere else, including Google Sheets.
How many Stripe statements can I convert at once?
Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.
What happens to my statement?
It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
