How to download a Amex card statement as a PDF

  1. Log in to americanexpress.com and open the card account.
  2. Select "Statements & Activity" from the menu, then the "Statements" tab.
  3. Choose the billing period. Statements older than the recent ones are marked archived and appear within 24 hours of being requested.
  4. Click "Download" and choose PDF (Excel and CSV are offered here too, for activity rather than the statement).
  5. Save the file. In the Amex app the same list is under Statements on the account screen; tap a period, then the share icon to save the PDF.

Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.

Before you upload: is the PDF password-protected?

No password on US Amex statement PDFs. Some markets outside the US send protected statements by email; the ones you download from the US site are open.

What Amex statements look like

Card statements grouped by card member with a "New Charges" section per card and a separate "Payments and Credits" section.

A US consumer statement is usually four to six pages, of which one or two are transactions and the rest are the payment coupon, rewards summary and disclosures. Activity is split into "Payments and Credits", "New Charges" (grouped under each card member on multi-card accounts), "Fees" and "Interest Charged", each with a total, and the Account Summary proves out as Previous Balance minus Payments and Credits plus New Charges plus Fees plus Interest equals New Balance. Charges print as positive numbers; payments and credits are shown with a minus sign. Foreign spend gets a second line under the merchant with the original currency amount and the exchange rate. Dates are MM/DD/YY, one per row, with no posting date column.

Where Amex statements trip up other converters

  • Charges are positive on the paper but are money out; we output them as debits so QuickBooks and Xero see the right direction.
  • Multiple card members on one statement are kept as one account with the member name in the description.
  • Foreign transactions print the original currency under the row; we keep it in the description and use the billed USD amount.

None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a Amex file.

Why not just use Amex's own export?

Amex lets you view two years of transactions online and download them as Excel or CSV, and recent activity plus the last six billing statements can be downloaded in Quicken (QFX) and QuickBooks (QBO) format. The QBO route is the quickest path into QuickBooks Desktop for a current card. The Excel file is a flat activity list, though: no statement boundaries, no Previous Balance or New Balance, and card member names are a column rather than a section. If you need to prove a month, or the client has a card with several employees on it, the PDF carries the totals and the grouping and is worth converting instead.

Why do Amex charges come out as debits when they are positive on the paper?

Because a card account is a liability. A positive New Charge increases what you owe, which in double entry is a credit to the card and a debit to expense, and every accounting import treats a card debit as money out. The converter flips the sign so QuickBooks and Xero see charges as spend and payments as money in, and the New Balance still ties.

How do I split a statement with three card members into separate accounts?

Usually you do not. Amex bills one account and the payment is one line, so keeping one liability account with the card member name in each description is the cleaner setup. If you must track employees separately, run a class or tracking category off the member name after import rather than trying to reconcile three partial balances against one statement.

The statement I need is more than two years old. Is it gone?

Not necessarily. Two years is the window for transaction search and Excel downloads. PDF statements can go back further, up to seven years on many accounts, and older ones are flagged as archived and appear in the list within about a day of being requested. Request them first, then come back to download.

Can I import Amex transactions into QuickBooks Online?

Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. For Xero, download the Xero CSV and use Import a Statement on the bank account. Excel and CSV work everywhere else, including Google Sheets.

How many Amex statements can I convert at once?

Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.

What happens to my statement?

It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
