How to download a KeyBank statement as a PDF

  1. Sign on to KeyBank online banking and click Doc Hub at the top right of the screen.
  2. Choose Statements, then the account and the statement date. Personal accounts list up to seven years.
  3. Open the statement and save the PDF from the viewer.
  4. In the KeyBank mobile app, tap the account, then Statements, then the month, and use share to save the PDF.
  5. KeyNavigator business and commercial users get statements and reports through Information Reporting rather than Doc Hub.

Before you upload: is the PDF password-protected?

KeyBank statement PDFs carry no password. Download and upload; there is no lock to remove first.

What KeyBank statements look like

Summary of Beginning balance, Additions, Subtractions, Net fees and charges and Ending balance, then an Additions section and a Subtractions section (Paper Checks by number, then Withdrawals) and a Fees and charges block.

KeyBank cycles close on a fixed day rather than month end, commonly the 22nd to the 22nd or the 25th to the 25th, and a Key Smart Checking statement is three or four pages. The summary lists Beginning balance, Additions, Subtractions, Net fees and charges and Ending balance. The Additions section lists deposits and any interest with Date, Description and Amount; the Subtractions section opens with Paper Checks, a grid of check number, date and amount, and continues with Withdrawals such as card purchases, ACH debits and transfers. Fees appear as rows in Subtractions and are then summarised again in a Fees and charges block, which is a total rather than more transactions. Rows have no balance column. Dates print as MM/DD with the year in the header. Business statements follow the same sections with denser ACH and wire descriptions carrying reference numbers, and can run well past ten pages.

Where KeyBank statements trip up other converters

  • Fees appear as rows inside Subtractions and again as a total in Fees and charges; counting both makes the ending balance check fail by exactly the fee total.
  • Paper Checks list only a check number, date and amount; the description is nothing more than the check number.

None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a KeyBank file.

Why not just use KeyBank's own export?

On the account activity page in online banking there is a Download option offering Quicken (QFX), QuickBooks (QBO) and a CSV for a date range. The reach is short: users consistently report roughly 90 days of history, and KeyBank does not publish a figure of its own. The file has posted transactions and a signed amount, but no running balance, no beginning or ending balance and none of the memo detail printed on the statement. KeyNavigator, the commercial platform, has Information Reporting with BAI2 and other exports for cash management, which is a different product. Personal statements are online for up to seven years; business and commercial statements are reported to be kept for around 24 months. Past 90 days the PDF is what you have, and it is the only source with balances.

KeyBank questions

KeyBank lists checks under Paper Checks with just a number, date and amount. What goes in the description?

The check number, as Check followed by the number, since that is all the statement gives you. The amount is a debit and the date is the date the check cleared. If you keep a check register in QuickBooks the number is enough to match on; the payee has to come from the register or the check image, which is not on the statement.

Fees show up in Subtractions and again in the Fees and charges block. Are they counted twice?

No. The Fees and charges block is a summary of fee rows that already appear inside Subtractions, the same way Net fees and charges on page one is a total. Only the rows are transactions. If the block were read as extra rows the ending balance would come out low by exactly the fee total, and the check would flag it rather than pass it through.

Is a KeyBank business statement from KeyNavigator read the same way as a personal one?

Yes. The sections and the summary are the same, with more rows and longer descriptions, and the balance arithmetic is identical. The difference is retention: business statements are reported to stay online for about two years rather than seven, so download them as they arrive. The BAI2 and Information Reporting exports are useful for treasury work but are not statements and carry no printed closing balance to check against.
