How to download a USAA statement as a PDF
- Log on at usaa.com and pick the checking or savings account from the My Accounts summary.
- On the account page look for the Documents link (USAA has labelled it My Documents and Account Documents at different times) and choose Statements.
- Select the statement period you need. Each statement is its own PDF; there is no download-all option.
- Open the statement and save the PDF with your browser download button.
- In the USAA Mobile app, tap the account, then Documents, then Statements, choose the month and use the share sheet to save the PDF.
Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.
Before you upload: is the PDF password-protected?
USAA statement PDFs are not password-protected. If a file asks for one, it was locked by whoever forwarded it, so open it with that password and Print to PDF before uploading.
What USAA statements look like
Current statements have an Activity Summary box, a Fees table, then one Transactions table with Date, Description, Debits, Credits and Balance columns, opening with a Beginning Balance row and closing with an Ending Balance row.
USAA cycles do not follow the calendar month. A checking statement typically runs from around the 21st to the 22nd of the next month, and the Statement Period line on page one gives the full MM/DD/YYYY dates, while the rows below print only MM/DD. Statements issued since the 2023 redesign open with an Activity Summary (Beginning Balance, a count and total of Deposits/Credits, a count and total of Withdrawals/Debits, Service Charges and ATM Service Fee, Ending Balance) and a Fees table comparing this period with year-to-date, then a single Transactions table with Date, Description, Debits, Credits and Balance columns, so every row carries a balance. Older statements are monospaced, list DEPOSITS AND OTHER CREDITS and OTHER DEBITS as separate blocks with DATE, AMOUNT and TRANSACTION DESCRIPTION, and carry no balance per row. Personal checking runs four to six pages; checking and savings are issued as separate statements. USAA does not offer business accounts, so there is no business layout to worry about.
Where USAA statements trip up other converters
- The Beginning Balance and Ending Balance rows sit inside the transaction table and look like rows; if they are counted as transactions the balance check fails on the first line.
- Statements from before the 2023 redesign are monospaced with separate DEPOSITS AND OTHER CREDITS and OTHER DEBITS blocks and no per-row balance, so a folder of years mixes two layouts.
- Military pay descriptions (DFAS-IN, DFAS-CL, allotments) wrap onto two or three lines; the row count against the summary shows whether a wrapped line was split into a false row.
None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a USAA file.
Why not just use USAA's own export?
From the account page, the I want to menu has an Export option that produces a comma-delimited file for the transaction history currently shown. The CSV has a single signed Amount column (negative for money out), a cleaned Description plus an Original Description, a Category column, and checks appear in the original description as CHECK # followed by the number. There is no balance column and no opening or closing figure. USAA does not offer a QBO file for QuickBooks Desktop, and the Quicken QFX and OFX options have come and gone over the years, so check what the drop-down actually lists before you rely on it. Third-party reports put the reach of the export at around 18 months; USAA does not publish a figure, and it does not publish one for the statement archive either, so how far back the PDFs go varies by account and by how long you have been a member.

USAA questions
My USAA statement has Beginning Balance and Ending Balance rows inside the Transactions table. Do they count as transactions?
No. Those two rows carry a figure in the Balance column and nothing in Debits or Credits, and they are treated as the opening and closing balances for the check rather than as movements. If they did slip in as rows the first line would already fail to add up, and that row is what gets flagged for you to look at.
Why do my older USAA statements look nothing like the current ones?
USAA changed the statement design in 2023. Before that the PDF was a typewriter-style document with deposits and debits in separate blocks and no balance on the rows; since then it is a single table with a Balance column. Both layouts convert, because the check is arithmetic rather than a template: beginning balance plus credits minus debits must equal the printed ending balance. On the old layout that is the only proof available; on the new one the per-row balance gives an extra check on every line.
The USAA CSV export has one signed Amount column. Is the PDF any better for QuickBooks?
For QuickBooks Online the CSV can be imported directly if you are happy without a balance to reconcile to. For QuickBooks Desktop the CSV is no use, since Desktop wants a QBO file and USAA does not produce one; converting the statement PDF gives you a .qbo with the account and period in it. Either way the PDF is the record that carries the opening and closing balances.

Do I need a USAA template?
No. The statement is read the way a person reads it, so USAA layout changes do not break anything. What protects you is the balance check: opening balance plus money in minus money out must equal the printed closing balance, row by row.
Does it work with scanned USAA statements?
Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.
Can I import USAA transactions into Excel?
Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. Excel and CSV work everywhere else, including Google Sheets.
How many USAA statements can I convert at once?
Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.
What happens to my statement?
It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
