How to download a Westpac statement as a PDF

  1. In Westpac Online Banking go to Overview, then Statements.
  2. Select the account under Active accounts (closed accounts are listed separately).
  3. Enter a date range or pick a preset range, then select Search.
  4. Select Download PDF against the statement you want and save it.
  5. In the Westpac App, type Statements into the Smart Search bar, tap Statements (incl. closed accounts), choose the account and period, then tap the share icon to save or send the PDF.

Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.

Before you upload: is the PDF password-protected?

Westpac eStatements are ordinary unprotected PDFs. Nothing needs removing before upload.

What Westpac statements look like

Date, Description, Debit, Credit, Balance; card purchases show the merchant and a "Card xx1234" suffix.

Current Westpac statements read Date, Transaction Description, Debit, Credit, Balance; older ones in a shelf of paper say Withdrawals, Deposits and Balance instead, and both are handled. Dates are dd/mm/yy. Card purchases show the merchant and location followed by a Card xx1234 marker, and a foreign purchase adds a second line with the original currency amount, which is merged into the description. Personal accounts are statemented monthly or half-yearly depending on the product, and a six-month statement on an everyday account can run past twenty pages. Business One statements often list fee lines separately at the end of the month.

Where Westpac statements trip up other converters

  • Statements are commonly newest-first in the app export; rows are put in date order before reconciling.

None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a Westpac file.

Why not just use Westpac's own export?

Online Banking has a proper export under Overview, then Exports and reports: Export CSV, QBO, QIF, OFX file, where you choose a date range, the accounts, the file format and the date format. The CSV carries a Balance column and is one of the tidier bank exports around. Transaction history online goes back about three years, though the app route (Download recent transactions) is limited to 30, 90 or 120 days or a custom range of up to 12 months. eStatements are kept for seven years, so for older periods, or when you need the official document rather than a data feed, download the statement PDF and convert that.

Westpac questions

The app shows transactions newest first. Will the Excel file come out backwards?

No. The statement PDF itself is oldest to newest and the converter sorts by date before checking the running balance, so the output is always in chronological order regardless of how the app displayed things. If you have a Download recent transactions PDF from the app rather than a true statement, it converts too, but it has no opening balance line to check against.

Which is better for Xero: the Westpac OFX or the converted statement?

For the current month, the OFX or QBO export is fine and imports directly. For a backlog, or where Xero needs the same figures the accountant sees on the statement, convert the PDF to CSV and import that. The converted file has the balance on every row, which makes it easy to spot where a Xero feed dropped a day.

Do older Westpac statements with Withdrawals and Deposits headings still work?

Yes. The parser recognises both the older Withdrawals/Deposits/Balance heading set and the current Debit/Credit/Balance one, and maps them to the same debit and credit columns in the output.

Do I need a Westpac template?

No. The statement is read the way a person reads it, so Westpac layout changes do not break anything. What protects you is the balance check: opening balance plus money in minus money out must equal the printed closing balance, row by row.

Does it work with scanned Westpac statements?

Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.

Can I import Westpac transactions into Xero?

Yes. For Xero, download the Xero CSV and use Import a Statement on the bank account. Excel and CSV work everywhere else, including MYOB.

How many Westpac statements can I convert at once?

Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.

What happens to my statement?

It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
