How to download a National Bank statement as a PDF
- Sign in to your online bank at nbc.ca and select the chequing or savings account from the overview.
- Click Documents and statements, choose the document type, set the time period and click Search.
- Click the download link beside each month you need and save the PDF. It arrives in the language your account is set to.
- Business clients: in online banking for business go to Accounts and transactions, then Statements, tick the months you want and download. Several months come as a ZIP, with a bell notification when the file is ready.
- In the National Bank app: select the account, tap More, then Documents and statements, pick the time frame, tap Search and open the statement to save or share it.
Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.
Before you upload: is the PDF password-protected?
National Bank statement PDFs are not password-protected, whether they come from the personal online bank, online banking for business or the app. Upload them as they are.
What National Bank statements look like
Date, Description, Withdrawals, Deposits, Balance in English, or the same table with Retrait, Dépôt and Solde on French-language accounts, with opening and closing balance lines bracketing the table.
National Bank issues statements in English or French depending on the language on your file, and the two versions share one layout: a date column, a description, separate withdrawal and deposit columns and a balance, with Retrait, Dépôt and Solde standing in for the English headers on French files. Dates are day and month with the year fixed by the period in the header. Personal statements are monthly and run two to four pages; business statements are posted around the fifth business day of the following month and carry cheque images on trailing pages, which hold no rows and add nothing to the output. US dollar accounts get their own statement in USD, so name the files accordingly, and Mastercard statements are a different document with a separate download under the card.
Where National Bank statements trip up other converters
- French and English statements share one layout, so a mixed batch comes out with identical columns; descriptions stay in whichever language was printed.
- Business statements append cheque image pages that carry no transaction rows and add nothing to the sheet.
- Dates print without a year; the statement period in the header supplies it, and the balance check confirms the December-to-January rollover.
None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a National Bank file.
Why not just use National Bank's own export?
Online banking for business has an Export button above the transaction list offering PDF, CSV, QBO, OFX or QFX, and it respects whatever filters you have set, so filter first. The PDF export stops at 1,000 transactions while the data formats go to 10,000, and transaction history there reaches back about 25 months. The personal online bank is thinner: the formal record is the monthly PDF, and any transaction download covers recent activity only and carries no opening or closing balance to tie to. Statements are archived for seven years, which is the archive to convert from once you are past the two-year window.
What you get back
- A green Balanced badge when the printed opening balance plus money in minus money out equals the printed closing balance, row by row. Or a red one pointing at the first row that does not add up, with a one-click swap if debit and credit look reversed.
- Click any misread cell, correct it, and the check re-runs before you download.
- Download Excel, CSV, QuickBooks (.qbo), Xero CSV or Tally XML, whichever QuickBooks Online imports best, with a suggested category on every row.

National Bank questions
My National Bank statement is in French. Do the headers matter?
No. Retrait, Dépôt and Solde land in the same debit, credit and balance columns as their English counterparts, and the reconciliation from the opening Solde to the closing one runs the same way. Descriptions stay in French, which is what you want when matching them to your ledger. If a French and an English month sit in the same batch, both come out with identical column headings.
The business Export gave me a PDF that stopped partway through the year. Why?
The PDF export is capped at 1,000 transactions, so a busy operating account runs out before the period does. Switch the export format to CSV, which goes to 10,000, or download the monthly statement PDFs from Statements and convert those. The statements also carry the opening and closing balances that the export leaves out, so each month can be checked instead of trusted.
Can I export more than about two years from online banking for business?
Not through the transaction export; history there runs to roughly 25 months. The statement archive goes back seven years, so for an older period pick the months under Statements, download them (a multi-select arrives as a ZIP) and convert the PDFs. The closing balance of one month should equal the opening balance of the next, and a mismatch means a month is missing from the folder.
How do I convert a National Bank statement PDF to Excel?
Download the statement PDF from National Bank online banking or the app, drop it on this page, and wait about 10 to 40 seconds. You get every transaction in a table, a balance check against the printed opening and closing balance, and Excel, CSV, QuickBooks, Xero and Tally XML downloads. The first 5 pages are free with no account.
Do I need a National Bank template?
No. The statement is read the way a person reads it, so National Bank layout changes do not break anything. What protects you is the balance check: opening balance plus money in minus money out must equal the printed closing balance, row by row.
Does it work with scanned National Bank statements?
Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.
Can I import National Bank transactions into QuickBooks Online?
Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. Excel and CSV work everywhere else, including Sage 50.
How many National Bank statements can I convert at once?
Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.
What happens to my statement?
It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
