How to download a HSBC statement as a PDF
- Log on to HSBC UK online banking. In the quick links panel choose 'Statements'.
- Select the statement type (bank account or credit card), then the account.
- Choose the year and the month. Each month is a separate PDF.
- Click 'Download' and the PDF saves to your computer. There is also a 'Share' option if you are sending it to someone else.
- In the HSBC UK Mobile Banking app: open the account, tap 'View statements', pick the month, and use the share sheet to save it.
Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.
Before you upload: is the PDF password-protected?
Statement PDFs from HSBC UK are not password-protected. The only locked files we see are the annual credit card summaries some customers receive by email, and those are rare.
What HSBC statements look like
Date, Payment type and details, Paid out, Paid in, Balance. Balance printed only on the last transaction of each day.
The transaction table is headed Date, Payment type and details, Paid out, Paid in, Balance. The balance is only printed on the last entry of each day, so a day with six card payments shows five blank balance cells and one figure. Every line starts with a short code: VIS for Visa debit, DD for direct debit, BP for bill payment, SO for standing order, CR for a credit received, ATM for cash, TFR for a transfer between your own accounts. Dates are written as 02 Jan 26, with the year included. The opening and closing balances sit in a summary box on page one, and statements for busy accounts often run to five or six pages because each description wraps onto a second line.
Where HSBC statements trip up other converters
- Payment type codes (VIS, DD, BP, SO, CR) are preserved at the start of the description so you can categorise by them.
- Balance only on day-end rows; we compute the rest and verify against them.
None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a HSBC file.
Why not just use HSBC's own export?
HSBC lets you download the transaction list from the account screen as CSV or Excel, filtered to a date range. That download comes from the live transaction feed rather than the issued statement, so it has no statement opening balance, no running balance, and the descriptions are sometimes shorter than the printed ones. Online banking keeps six years of statement PDFs (HSBC's own figure), which is a longer reach than the transaction filter offers. If you are catching up more than a few months, or you want the payment type codes preserved, the monthly PDFs are the more dependable route.
What you get back
- A green Balanced badge when the printed opening balance plus money in minus money out equals the printed closing balance, row by row. Or a red one pointing at the first row that does not add up, with a one-click swap if debit and credit look reversed.
- Click any misread cell, correct it, and the check re-runs before you download.
- Download Excel, CSV, QuickBooks (.qbo), Xero CSV or Tally XML, whichever Xero imports best, with a suggested category on every row.

HSBC questions
What do the codes like BP, DD and VIS at the start of each HSBC line mean?
They tell you how the money moved, not what it was for. BP is a bill payment you made, DD a direct debit taken by a company, SO a standing order, VIS a Visa debit card payment, CR a credit paid in, ATM a cash withdrawal and TFR an internal transfer. stmtai keeps the code at the front of the description, so in Xero or QuickBooks you can write a rule such as "description starts with DD" and code all your direct debits in one go.
Most rows on my HSBC statement have an empty Balance cell. Is that a problem?
No, HSBC only prints the balance on the last transaction of each day. stmtai carries the running balance forward through the blank rows and then checks its own figure against every printed one. If they ever disagree the row is flagged rather than silently accepted.
Does the HSBC Kinetic business statement convert the same way as a personal one?
Kinetic statements use the same column set and the same payment type codes, so yes. The main difference is that Kinetic statements tend to be longer and have more BP and CR lines from customer payments, which is exactly where keeping the codes and the full reference text pays off.
How do I convert a HSBC statement PDF to Excel?
Download the statement PDF from HSBC online banking or the app, drop it on this page, and wait about 10 to 40 seconds. You get every transaction in a table, a balance check against the printed opening and closing balance, and Excel, CSV, QuickBooks, Xero and Tally XML downloads. The first 5 pages are free with no account.
Do I need a HSBC template?
No. The statement is read the way a person reads it, so HSBC layout changes do not break anything. What protects you is the balance check: opening balance plus money in minus money out must equal the printed closing balance, row by row.
Does it work with scanned HSBC statements?
Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.
Can I import HSBC transactions into Xero?
Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. For Xero, download the Xero CSV and use Import a Statement on the bank account. Excel and CSV work everywhere else, including Sage.
How many HSBC statements can I convert at once?
Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.
What happens to my statement?
It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
