How to download a Santander statement as a PDF
- Log on to Santander Online Banking and click 'Statements and documents' in the top navigation.
- Choose the account and the statement period from the list of e-Documents.
- Click the document to open it, then use the download icon to save the PDF.
- In the Mobile Banking app: tap 'Mailbox' in the top right, then 'Statements and documents', open the statement and tap the download arrow in the corner to save it.
Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.
Before you upload: is the PDF password-protected?
Santander UK issues its e-Document statements as plain PDFs with no password. They no longer carry a watermark either, which used to confuse some lenders.
What Santander statements look like
Date, Description, Money in, Money out, Balance, with card purchases showing the merchant, location and a "ON dd-mm-yyyy" posting note.
Santander UK statements put the monthly summary on the first page and then a 'Your transactions' table headed Date, Description, Money in, Money out, Balance, with a running balance on every row. Card purchases are written as the merchant and town followed by 'ON dd-mm-yyyy', the date the card was actually used. Dates in the Date column are day and month in words, such as 14th Feb. Statement periods rarely run calendar months; they start on the day the account was opened, so a statement may cover the 18th to the 17th. Savings account statements come once a year and are a single long table.
Where Santander statements trip up other converters
- The "ON date" inside descriptions is the purchase date; the row date is the posting date and is what is used for balances.
None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a Santander file.
Why not just use Santander's own export?
Santander's 'Download transactions' option on the account page will give you Microsoft Excel, Quicken (QIF), PDF or Microsoft Money for a date range, and personal current accounts can also pull a midata CSV of the last twelve months. Downloads are capped at 600 transactions per file, so a busy business account needs the range split. The transaction download is a list, not the statement: there is no statement opening balance and the running balance shown on screen does not always come through. Online Banking shows seven years of activity, but the e-Document PDFs are what you convert when you need a period that ties back to the printed closing balance.

Santander questions
What is the 'ON 12-03-2026' text in my Santander card payment descriptions?
That is the date the card was used at the shop or website. The Date column shows when Santander posted it, which can be a couple of days later and is the date the balance moves. stmtai uses the posting date for the row and leaves the ON date in the description so you still have both.
My Santander statement runs from the 18th to the 17th. Can I get calendar months instead?
Not from the PDF, because the statement period is fixed to your account opening date unless you ask Santander to change it. You can convert consecutive statements and then filter the combined sheet by month in Excel, which is what most bookkeepers do. The running balance stays intact across the join because each statement ends where the next begins.

Can I import Santander transactions into Xero?
Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. For Xero, download the Xero CSV and use Import a Statement on the bank account. Excel and CSV work everywhere else, including Google Sheets.
How many Santander statements can I convert at once?
Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.
What happens to my statement?
It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
