How to download a NatWest statement as a PDF
- Log in to NatWest (or Royal Bank of Scotland) Online Banking and select 'Statements' from the top menu. Business customers see it as 'Statements & transactions'.
- Choose the account, then the statement you want from the list. NatWest holds up to seven years online.
- Click 'View' to open it, then the download or save icon to keep the PDF.
- In the app: tap the account, then 'Statements', pick the month and tap the share icon to save the PDF.
Then drop the file above. Several months at once is fine; a year comes back as one workbook with a sheet per month.
Before you upload: is the PDF password-protected?
NatWest and RBS statement PDFs are not password-protected. The same applies to Ulster Bank statements produced on the NatWest Group platform.
What NatWest statements look like
Date, Type, Description, Paid in, Withdrawn, Balance. Multi-line descriptions are common.
NatWest statements are set out as Date, Type, Description, Paid in, Withdrawn, Balance, in that order, which trips up people who expect money out to come first. The Type column carries abbreviations such as D/D, S/O, BAC, OTR, POS, C/L, CHG and INT, and descriptions frequently run over two or three lines with the reference on the second line. Dates print as day and month in capitals, 12 JUN, with the year taken from the statement heading. Personal statements arrive on A4 with roughly 30 to 40 transactions a page; RBS uses the same template with its own branding. The number of transactions is printed in the summary, which gives a useful row count to check against.
Where NatWest statements trip up other converters
- Multi-line descriptions are merged into one row; the row count is checked against the printed number of transactions.
None of this is bank-specific configuration. The balance check catches these cases for every bank; this list just explains what you will see on a NatWest file.
Why not just use NatWest's own export?
From the transactions screen you can search by date and then 'Export', with OFX offered for Money, Quicken and Sage, and CSV for Excel. There is no PDF-to-CSV of the statement itself; the export is the transaction search result, so it lacks the printed opening and closing balances and the descriptions are often cut shorter than on the statement. Credit card transactions can only be viewed and exported for the last three months. When the numbers have to agree with a statement, or you need the full reference on a Faster Payment, converting the statement PDF is the better option.

NatWest questions
What do NatWest abbreviations like D/D, BAC, OTR and POS stand for?
D/D is a direct debit, S/O a standing order, BAC a BACS credit or debit, OTR an online or telephone transfer, POS a debit card purchase, C/L a cash withdrawal, CHG a bank charge and INT interest. stmtai keeps the code from the Type column at the front of the description so you can filter on it later.
Why are Paid in and Withdrawn the wrong way round compared with my other banks?
They are not wrong, just NatWest's order. Columns are read by their headings rather than their position, so credits land in Money in and debits in Money out regardless of which the bank prints first. The output has the same column order for every bank, which makes it easier to stack several accounts into one workbook.
My NatWest descriptions wrap onto several lines. Do I lose the second line?
No. Continuation lines are joined into a single description with a space between them, so a Faster Payment shows the payee and the reference together. The finished row count is checked against the transaction total printed on the statement so a wrapped line is never counted as an extra transaction.

Does it work with scanned NatWest statements?
Yes. Scanned PDFs and phone photos are read visually. Blurry pages may produce a flagged row; the check tells you exactly which one to look at.
Can I import NatWest transactions into Xero?
Yes. Download the .qbo file and use Upload from file in QuickBooks Online, or Web Connect import in QuickBooks Desktop. For Xero, download the Xero CSV and use Import a Statement on the bank account. Excel and CSV work everywhere else, including FreeAgent.
How many NatWest statements can I convert at once?
Up to 12 files at a time, 60 pages each. A year of monthly statements comes back as one Excel workbook with an Overview sheet showing which months balanced, a sheet per month with a Category column, and a Categories sheet totalling the year by category.
What happens to my statement?
It is processed once and deletion is attempted as soon as processing finishes; an AWS lifecycle rule removes anything left behind. The extracted table becomes eligible for deletion after 7 days (1 day without an account). Nothing is used for training.
